How it works

Six things happen to a booking. EventLock does the paperwork.

Request. A client fills out your form. It lands already structured: contact, date, place, and details. You are alerted.

Proposal. Tap Create Proposal and her name, date, venue, and notes are already in it. If you have set up your services and products, they are already on the proposal. Just review the proposal and hit send!

Signed, deposit paid. She reads your cancellation and reschedule terms and signs from her phone. The signed proposal becomes the booking record.

Staffed. Send a direct offer to your first choice, or an open call to your roster. Contractors see the date, time, city, and pay, and accept in one tap.

Day of. Your people tap On my way, then Arrived. You know they are there without texting anyone.

Paid. The balance comes in, the job reads paid in full, and you mark each contractor's pay as paid.

Your services

Type two words. Get a whole service.

Nobody wants to rebuild their business inside an app. So you do not. Open a new service, type its name, and EventLock writes the three pieces of copy that service needs everywhere it appears: what your client reads, what goes in the contract, and what the person doing the work needs to know before they get in the car.

Here is a real one. The only thing typed was the name.

Edit service
You typed:Face Painting
DESCRIPTION
Our skilled face painters create beautiful, intermediate-level designs that delight guests of all ages with artistic flair and attention to detail. We use professional, skin-safe paints and work efficiently to ensure every guest gets a memorable design that lasts throughout your event.
CONTRACT NOTES (AUTO-ADDED TO CONTRACTS)
All face painting is performed with professional, FDA-approved cosmetic-grade paints that are hypoallergenic and designed for skin application. However, we require advance notice of any known skin sensitivities or allergies, and parents/guardians should inform our artist of any concerns before painting begins. We always recommend a small patch test for guests with sensitive skin or extensive allergies.
CONTRACTOR NOTES (ONLY CONTRACTOR SEES)
Bring your full intermediate kit: quality brushes (rounds 2, 4, 6, fine liner), sea sponges, professional face paints in primary colors plus white and black, glitter gels, and design reference cards. Pack baby wipes, hand sanitizer, and a small mirror for touch-ups and to show the guests. Arrive 10-15 minutes early to set up.
Read it. Change a word if you want it in your own voice. Save.

Now the description travels with the price on every proposal and every client page. Drop in some images, and they appear on the proposal too, right on the line the client will be reviewing. The contract notes take care of themselves as well, attaching to the contract so the allergy paragraph is in writing before anyone signs, while the contractor notes go only to the person working the job, which is where a kit list belongs and nowhere else. Products work the same way, with the client description and the setup and care notes.

Your whole catalog, set up in an hour.

What else it does

The rest of the job, already built.

  • Forms that ask the right questions

Put a request form on your site or share it as a link. Add your own questions, and let people attach photos, a PDF, or a floor plan with the request.

  • A proposal that writes itself

Your services, your products, your prices, your terms, already on the page with the client's own details.

  • Signed from her phone

She reads your cancellation and reschedule terms, then signs. The signed proposal becomes the booking record, and the terms she signed stay frozen to that version.

  • Deposits and balances

She pays by card through your own connected Stripe account, or you record a Zelle, Venmo, or check. The job reads what is paid and what is still owed.

  • Example photos on every service

Add up to 12 photos to a service, with captions. They show up on their own wherever that service is quoted.

  • Galleries inside the document

On a proposal or an invoice, a service line opens into those photos right where it sits, full size, without leaving the page.

  • Offers that go to the right people

Send a direct offer to your first choice. Or put out an open call, which only reaches contractors who work in the area of the event.

  • Day-of check-ins

On my way. Arrived. Event complete. You know where your people are without texting anyone.

  • Messages that stay with the booking

Every note from the client and every note from the contractor sits on the job it belongs to, and you get a text when something needs you.

  • One login, three views

Run your own business, take jobs for other companies, and hire other people, from one account and one sign-in.

  • Your records, downloadable

Requests as a spreadsheet, finance and business records out whenever you want them.

Field job offers from every company that uses EventLock, all from one free account.

One login, three views. Run your own business, take jobs for other companies, and book other people, all from the same EventLock account. A switcher at the top of the screen moves you between your business workspace, your contractor portal, and your client portal, so you never need a second login just because you wear more than one hat.

See the date, time, city, and pay before you accept. Upload your W-9 and insurance once.

EventLock takes 0% of contractor pay. We add no EventLock transaction, hiring, placement, or client service fee to money moving through the job.

Paid company subscription plans still apply. If a company accepts card payments, its card processor may charge its ordinary processing fees.

07Why

Why this exists

I book date-based work for a living. In our busiest year we booked, staffed, and performed more than 3,000 events, and the hard part was never the work. It was the hour after: the quote, the signature, the deposit, the six texts to find a face painter. EventLock is the tool I wanted on those nights, and I run my own bookings on it.

Ed Kevorkian, founder of Imagination Overdrive

Practice

Nobody hired you to be a salesperson.

The proposal is sent. She asks for a quick call before she signs, and the whole job comes down to fifteen minutes on the phone that you never trained for.

So take the call twice. EventLock runs a live practice call against a client who is not real. She talks, you answer out loud, she pushes back on the price, she asks whether you have handled a room that size before. Live coaching arrives while you are still on the call, and when you hang up you get a realistic read on what landed and what to say differently.

Run it as many times as you need. Change the price, change the objection, get it wrong in private. The real client only ever meets the version of you that has already had the conversation.

Your services, your prices, and your terms are already in it, because they are already in EventLock.

Solo includes one hour of practice calls a month. Agency includes two.

Coming soon: voice coaching works on the real call as well. A Mac app sits beside you while you are on the phone with the client and coaches you live, not a rehearsal.

The next request is going to come in at 9:40 on a Tuesday night. Let it be easy.
